Hawaii’s Volcano Circus, also known as SPACE, uses internal reporting tools to manage classes, teacher records, venue operations, and accounting workflows. This Privacy Policy explains how we handle information connected with those tools and with related services such as Google Workspace, Zeffy, and QuickBooks.

Information We Collect

We may collect teacher, staff, contractor, student, and customer information needed to operate SPACE programs, including names, contact details, class or event records, attendance counts, payment notes, settlement records, and related accounting information.

How We Use Information

We use this information to register classes and programs, track attendance, manage teacher settlements, record rent or payment activity, reconcile accounting records, communicate with participants and teachers, and meet operational, tax, and legal requirements.

Service Providers

We use trusted service providers to run our operations, including Google Workspace for forms and spreadsheets, Zeffy for payment collection, QuickBooks and Intuit services for accounting, Cloudron and WordPress for website hosting, and other operational tools as needed. These providers process information according to their own privacy and security terms.

Sharing

We do not sell personal information. We share information only when needed for SPACE operations, accounting, payment processing, legal compliance, safety, or with service providers that support those functions.

Retention

We keep records for as long as needed to operate our programs, maintain accounting records, resolve questions, and satisfy legal or reporting obligations. When records are no longer needed, we may delete, archive, or de-identify them.

Security

We use reasonable administrative and technical safeguards to protect operational records. No online system is perfect, but access to internal tools is limited to authorized staff, teachers, contractors, and service providers with a business need.
